Faculty and Staff Loan Policy


The Instructional Support Committee recommends to the Librarian of the College that the following policies be put in place in the Grinnell College Libraries with respect to faculty, staff, and student loans of library materials:


Number of items loaned

 

Faculty, staff and student loans should be limited to not more than 75 volumes at any one time (not including interlibrary loan volumes). Loans in excess of this number to any one individual impair the libraries' collections and the ability of students and other faculty to use them. Although library materials can be recalled, few library users actually do so, preferring to use only those items which are in the libraries when they are required. There are also many users who browse shelves for relevant books, rather than searching for items in the catalog. The latter individuals are particularly disadvantaged when a faculty member's scholarly interests result in a large number of books on a particular focused subject being absent from the shelves. Finally, in our collective experience, we judge that 75 volumes borrowed from the libraries at any one time are adequate to support active teaching and research requirements. Individuals who desire a temporary increase to this policy should make a request in writing to the Librarian of the College, indicating the reason and the time-period for the exception. In most cases, for faculty, the limit will be increased to 100 items through the end of the semester in which the request is made; in some cases, the increase will extend through the academic year.


Renewal procedures

 

Faculty and staff members may renew books once by telephone or by paper or electronic mail. However, the maximum length of time a faculty or staff member may retain a book without returning it physically to the libraries is twenty-four months (unless sooner recalled for another user). After two years, all faculty and staff are expected physically to return library materials in order to renew their loans. This requirement is necessary to insure that all apparently charged materials can be accounted for and that those which cannot are replaced in a timely manner.


Lost library materials

 

The Instructional Support Committee reaffirms the policy established by one of its predecessor bodies, the Library and Bookstore Committee: Faculty and staff are expected to pay promptly replacement costs of any library materials lost while charged out to them.
